Contracts Administrator
Job Summary:
The purpose of this position is to monitor and ensure Compliance with the contractual terms
and conditions during pre- and post-award stages of the acquisition/procurement process.
Essential Duties and Responsibilities:
- Administers contracts by tracking deadlines, performance, and other legal requirements
of the contract. Assist in the management of vendor’s contract performance - Reviews contractual terms and conditions to determine acceptable and unacceptable risk
based upon established policies and best practices. Formulates recommendations for
discussion with supervision to verify the validity of recommendations and determine the
proper course of action - Coordinates with other departments to ensure that unusual contract requirements are
identified and addressed during a management vetting process - Enters contract information and other data into computer system; accesses and locates
information for customers, staff, vendors and others - Prepares and distributes required compliance reports that include the dissemination of
information and payment of fees. Updates and tracks a variety of electronic and paper
files, records, and related documents - Prepares letters, electronic correspondence and other documentation required for
successful contract administration. Maintains file integrity and confidentiality by
adhering to organizational policies and best practices. Assures the accuracy of the
electronic and paper filing systems. Researches files to obtain requested information,
insert additional data, and check accuracy of documents - Monitors DLT compliancy with Government regulations and Customer contract provisions for
assigned agreements. Notifying management of any discrepancies and working to resolve any
findings - Demonstrate a working knowledge of FAR, DFAR and computer reseller contractual
requirements within the Federal Sector contracting process - Monitor contract sales and margins. Under the supervision of others, negotiates changes
with vendors and the Customer/Government to improve sales opportunities and profit margins. - Prepares contract modifications for price changes, addition of product, and discontinuance
of product, product replacements, and version changes. This includes coordination effort
among sales and with Government, Customer and/or Vendor representatives - Performing other job-related duties as assigned
Knowledge and Experience:
An undergraduate degree with a business management related focus
Three to eight years contract administration industry experience
Skills and Abilities:
- Must have the ability (detail – oriented, multitask) for database administration,
handling customer correspondence and comparing terms and conditions of DLT’s value-added
contracts to the Federal, State and Local Acquisition Regulations, to ensure that DLT is
in total compliance with contractual requirements
- Ability to develop and maintain professional relationships with peers, vendors and
customers; and contribute to a professional work environment by demonstrating integrity,
promoting teamwork, and fostering positive communication
- Must demonstrate strong time management skills and be able to coordinate and prioritize
multiple projects and assignments with limited supervision.
- Able to adapt to changing work efforts and manage impact of shifting priorities
- Proficiency with word processing systems as well as ability to work with presentation,
database, and spreadsheet software required
- A developing knowledge of Federal Acquisition Regulation and other bodies of law affecting
government contracts
